The Clinical Leader Solutions Expo is a free, live virtual event that helps clinical research professionals find the right technologies and services to support their trials. It focuses on key challenges in clinical research, giving partner companies a chance to showcase how their solutions can help.
Designed for Clinical Leader and Clinical Tech Leader readers, this virtual format offers a more convenient and cost-effective alternative to in-person events. Past attendees prefer the ease of evaluating partners directly from their screens.
Attendance is open to the following:
- Pharma and biopharma companies
- CROs
- Sites
- Industry Consultants
- Presenting companies and sponsors
What’s Included in Your Sponsorship
As a presenting sponsor, you will receive:
- A 15-minute live session to present your product or solution, with slideshow, live Q&A, and optional screen share or VR demo
- Full registrant list with contact info, delivered within one week after the event
- All attendee questions from your session, provided within one week
- List of all slide deck or asset downloads, with contact info, within one week
- Optional custom poll or survey with full results and contact info within one week
- Your logo and company name featured in event promotions and on-screen
- A full video cut of your presentation, delivered within two weeks for your own use
Delivery Timeline:

Event Start Time & Duration
The Clinical Leader Solutions Expo begins at the start time listed on the registration pages. Each company presents for 15 minutes or less. With introductions, transitions, and closings, the full event typically lasts up to 2 hours
Speaker Availability
Speakers must log in 30 minutes before the event starts and stay connected until their presentation is complete. Because timing can shift, be ready to present at any point during the session. Speakers can log off once they finish presenting and will remain off camera and muted while waiting.
What is the order of presentations?
Presentation schedules are typically published around three weeks prior to the event. You will receive notification of the schedule from the event production team and/or your business development contact at that time.

- The presentation schedule is usually shared about 3 weeks before the event.
- Each speaker will present for 15 minutes, following a brief 2–3-minute opening.
- Exact presentation times are estimates and may vary slightly due to the nature of live events.

What Time Should I Share with Clients?
Always direct clients and prospects to join at the event start time listed on the registration pages, not your specific time slot.
How to Register
Anyone who wants to attend (clients, prospects, colleagues, etc.) must register through the event’s registration page. Registration stays open until the event ends.
Presenter Access
Presenters do not need to register. You’ll receive a unique access link via a calendar invite once your speaker details are submitted. Be sure to accept the invite and confirm it’s on your calendar.
Joining the Event as a Presenter
Use the special access URL in your calendar invite to join. If you haven’t received it or need it resent, contact Courtney Cornell at ccornell@vertmarkets.com.
Will I be on-camera?
Yes. Presenters must be on camera during their live 15-minute session.
Is the presentation live or pre-recorded?
All presentations are live. Pre-recorded presentations are not accepted.
Can I include a video in my presentation?
Yes, but only if:
- It’s 2 minutes or less and directly related to your solution
- Or, you share a video link during your session (this replaces the slide deck download)
How many presenters can we have?
One speaker per company is standard. If you want more, let us know by the Presenter Info deadline. We’ll try to accommodate.
What should my presentation include?
You have 15 minutes to present however you'd like, but we suggest this format:
- Company Intro (1–2 min) – Keep it brief
- PowerPoint Presentation (4–6 min) – Focus on product benefits or how it fits market trends
- Live Demo / Screen Share / VR / Short Video (6–8 min, optional) – Show the solution in action
- Live Q&A (1–2 min) – The moderator will facilitate this with audience or pre-seeded questions

- Good lighting, sound, and a professional background make a big difference
What Will the Audience See On-Screen?
Below is an example. Expect a clean, professional setup that makes it easy for attendees to watch, engage, and connect. The audience interface includes:
- Live Video Feed: Streams your camera and voice during the presentation
- Slide Viewer: Shows your PowerPoint slides as you advance them
- Q&A Box: Attendees can submit questions in real time (only visible to you and event hosts)
- Contact Options: Headshots with name, title, and company + links to email and LinkedIn
- Interest Form: Static survey where attendees can choose who they want to hear from
- Company Info: Your company description, website link, and a downloadable asset (slide deck or another file)
How Many Assets Can I Display?
Each presenting company may display one asset on screen. You’ll receive click data with contact info after the event.
What Asset Should I Use?
The most effective asset is usually a PDF of your slide deck. If you don’t provide another option, this will be used by default.
Other options include:
- Video
- Brochure
- Fact sheet
- White paper
- Web page link
Make sure your asset directly relates to your presentation topic.
What is the optional poll question?
Polls let you ask the audience one custom question during your presentation. You’ll receive personally identifiable responses after the event to help gauge interest or qualify leads.
What’s Needed to Set It Up?
- Your question
- Response type: multiple choice, select all that apply (max 12), or free-form (no mixing types)
- Your answer options (if using multiple choice)
- Whether results will be shown live (audience only sees percentages)
- When you'd like the results shown (default is after your opening remarks unless otherwise specified)
What Makes a Good Poll Question?
- Easy to answer
- Directly ties to your topic
- Helps you learn about potential customers
- Not overly salesy
Example ideas:
- What’s your biggest challenge in clinical trial data management?
- How important is adaptive trial design to your current work?
When and How Do I Submit It?
Submit your poll via the Materials Submission Form by the final materials deadline.
How Is It Shown?
The poll appears in a small pop-up during your session, managed by the event producer. It won’t interrupt your video or sound. Your speaker should mention it to encourage participation.
What’s the Response Rate?
Expect 15–25% of viewers to respond.
When Will I Get the Results?
Results (with contact info) will be sent within one week after the event.
What Equipment Do I Need to Present?
- A strong internet connection
- A laptop or desktop with a webcam
- A microphone or wired headphones/earbuds (Bluetooth is not recommended)
- Google Chrome browser
- Presentation in PowerPoint format (not PDF)
- Whitelist On24 on your company firewall if needed
Where Should I Present From?
Use a quiet location with minimal distractions and reliable internet. A professional or branded background (physical or virtual) is recommended.

What Is the Tech Check?
A required session to test your audio, video, and review the On24 interface.
- Must use the same equipment and location as you will for the live event
- Typically held 1–2 weeks before the event
- Schedule your tech check via the Materials Submission Form

What If I Have Technical Issues?
Before the event (more than 30 mins out):

If you're disconnected and can’t use the platform’s chat, email Courtney Cornell – ccornell@vertmarkets.com
They’ll be monitoring email, chat, and phone during the event.
If your tech fails:
- You may be moved to the end of the session
- If needed, you can call in by phone and present using printed notes
- A team member can advance your slides for you
- If using a VR demo or screen share and the issue can’t be resolved live, we’ll help you share the content with attendees afterward
Who Will See the Event Promotion?
The Clinical Leader Solutions Expo is promoted to Life Science Connect’s subscriber database (including Clinical Leader and Clinical Tech Leader readers) and targeted clinical research professionals. Presenting sponsors are also encouraged to promote it to their own contacts.
How Is the Event Promoted?
Promotional channels include:
- Clinical Leader, Clinical Tech Leader, and Life Science Connect websites
- Email campaigns
- Social media
- E-newsletters
Should I Promote It Too?
You're not required to, but you're encouraged to promote the event to your own clients and prospects. Start as soon as possible, and increase efforts in the final 2 weeks before the event (that’s when most people register).
What Marketing Materials Will I Get?
You’ll receive:
- A social media image sized for LinkedIn and X (Twitter)
- The event logo
- A speaker promo image (once your info is submitted)

What Materials Do You Need from My Company?
You’ll need to submit the following:
Company Info:
- Company name (how it should appear on-screen and in promotions)
- Company logo
- Company website URL
- Company description (max 250 words)
- Primary contact name & info (confidential)
Presenter Info:
- Name
- Email (shown on-screen)
- Mobile number (confidential; used only for day-of support)
- Title
- Headshot
- Number of presenter camera feeds needed
Presentation Info:
- Short abstract (1–2 sentence summary)
- Presentation format (for planning only)
- Seeded Q&A questions (optional backup for live Q&A)
- Slide deck (PowerPoint only, see formatting below)
- Poll question (optional)
- Alternate downloadable asset (optional; replaces slide deck PDF)
- Virtual background (optional)
Presentation Format Requirements:
- PowerPoint (PPT) only – no PDFs
- 16:9 widescreen
- Use standard fonts (Arial, Calibri, Verdana, Times New Roman)
- No embedded videos
- No timed transitions
- If using screen share or a live demo, no advance materials needed
- If using a supplemental video, submit as an .mp4 – must be approved for relevance
How and When to Submit:
- Submit all materials via the Materials Submission Form in the portal
- All materials are due by the deadline listed in the form
- For large files, use WeTransfer, Dropbox, etc.
- Submissions are confidential and only used for this event

How Can We View the Event After It’s Over?
- The event will be archived on On24 within 24 hours after the live show.
- Registered attendees will get an email with a link the next day.
- Presenters or unregistered viewers can access it via the registration page.
- About 3 weeks post-event, all sessions will also be available on the Clinical Leader Solutions Expo page.

Can We Promote the Event Afterward?
Yes! Sponsors are encouraged to promote the archived event:
- Share on LinkedIn
- Visit Clinical Leader's LinkedIn page
- Click “Show all events,” choose your session under “Past Events,” then click Share
- Use Your Video Cut (received within 2 weeks post-event)
- Post it to your website, YouTube, social media, or email it to contacts
- Link to the Expo Page
- After 3 weeks, find your session on the Clinical Leader Solutions Expo page
- Right-click your video and copy the link to share anywhere
